Easily steward requests from donors to change a gift type (In Honour, In Memory or General) or to modify a tribute card they've sent.
Donors and contacts can be updated through their user profile to reflect changes to or correct mistakes with contact and address information. Updates can also be made to a gift made in the Donations module to adjust Gift Type (General, In Honour, In Memory), Tribute Information (Dedicated To Name and Recipient Information) and Tribute Card (eCard or Printed).
Changes to Gift Type, Tribute Information and Tribute Card are ideal when:
- A donor makes a General Donation, but intended to send an eCard
- There's a mistake in the eCard message - or just to check if the message is correct
- Typo in the name of the person that donor wishes to honour/memorialize
Indeed, mistakes happen and you can easily make updates behalf of a donor - or simply send them a form to correct it themselves!
Update Gift Type or Card from the user profile
Administrators with User Permissions can make changes to from the Transactions tab of a donor's User Profile:
- Search for a Donor via Manage Users, and click on their First or Last Name to drill down into their profile
- Under Details, select "Transactions"
- Select the "Update Type/Card" button
- A scaled-back version of the Donation form, called the Donation Update Page, will launch with a short message including the name of the donor, their Gift Amount, and Transaction Code. Donation Type and Dedicated To (Tribute Information) will be pre-populated. If a card was selected, the Type and Recipient Information will also appear on screen.
- Information is editable, just like any other form, and all visible fields can be modified to reflect the latest details:
- Donation Type: Choose between from the Donation Types available in the Campaign: General, Tribute - In Honour or Tribute - In Memory. Selecting a Tribute Type will allow a Card to be sent.
- Dedicated To: Name of the tributee - that is, who is the donation in honour or in memory of
- Card Type: Choose eCard, Printed Card or No Card, based on the types made available within the campaign
- Card Recipient Details: Enter or modify the existing Recipient Information who the card should be sent to
- Add another recipient: For eCards only, you may add more recipients to send the Card to (e.g. family members, next of kin)
- Card Details: From the library of Cards you've made available in the event, select the Card template that should be sent. The custom message entered by the donor will display and is also editable.
- Delivery Date: Select when the card should be sent.
Delivery Date is optional, and if a date is not set, the Card will automatically send after "Send email" selected.
- Verify the information about the donation. You may preview the card by selecting "Preview".
Proceeding with your changes
- Proceed with the changes by selecting the green button that reads "Continue" (if no card has been selected) or "Send Email" (if a card has been selected).
- After doing so, you'll receive a message that verifies the updates, reading: "The donation and/or card(s) have successfully updated. If eCards have been changed, they will be sent our shortly or as scheduled."
By performing the updates, the following occur:
- Donor information, tribute information, receipt information and gift information in Admin, Reports and Exports will modified with the updated Gift and/or Tribute details.
- When an eCard is sent: Another card will be triggered to the Recipient(s). Existing cards will not be cancelled.
Sharing the Donation Update Page
The Donation Update Page is a sharable page, meaning that updates can be performed by others so long as they have the unique link for the gift.
Is another team member in touch with the donor? Flip the page to your colleague. Prefer to the donor to make the changes self-serve? You're in luck! Send the page link to the donor.
To share the page:
- Go the Transaction menu in the donor's record
- Click Update Card/Type
- Just copy the URL from the address bar
- Share as necessary
