We have made updates to our Terms of Service as they relate to data storage, effective May 1, 2021. The updates are being made with the intent to improve application performance, and to bring our policies in line with industry standards.
Effective this date, we will delete all “dormant” events, or events that have not received online transactions in the last 6 years, from our production database. Events that have not received a transaction since April 30, 2015 and related event data will be deleted over the month of May 2021. Data clean up of dormant events is planned annually.
How does this affect me?
The policy change to delete dormant events means that events that have not received an online transaction in the last 6 years, and the related user and event data (including tax receipts), will:
- No longer appear in the Events list
- Not be accessible in Reports
- Not be accessible in Exports
- User and user data, including tax receipts, from affected events will not appear in searches performed via Manage Users
Please note that if an event has online transactional activity after April 31, 2015, the event and all related data will not be deleted.
How does this affect my constituents?
The policy change will impact constituents in the following manner:
- For active Returning Participants, their donors from deleted dormant events will not appear in Donation History.
- Participant user credentials in dormant events will also deleted. Any deleted Usernames can be acquired by new participants.
For example: A Participant with the Username “AmazingFundraiser” last participated in a 2014 peer-to-peer fundraiser, where most recent transaction made in the 2014 event was made December 1, 2014. This event, and the “AmazingFundraiser” Username will be deleted. However, if “AmazingFundraiser” participated with the same Username again in 2019 -- only donor history from the 2014 event be will deleted.
Can I retrieve my data from dormant events?
All data will be accessible to you until May 1, 2021 via the raisin Admin console. If you have not already exported data as part of regular operational processes, we strongly suggest using the Export Data facility to generate export files.
To supplement your export files, downloading Common Reports/Downloads or event-specific Reports/Downloads is also suggested.
After May 1, 2021, deleted events and their data will be remain in our back-up database for a period of 2 years, and can be retrieved upon billable request.

Will this occur moving forward?
The policy change affects the Service going forward, and we reserve the right to delete event data that is older than six years. Data clean-up for "dormant" events is planned to occur annually and reminders we be sent at least once per calendar year. We therefore strongly encourage you to backup all data and information using the appropriate facilities available through your raisin account.
